Administrative Assistant - Mechanical R&D Department (Mat Leave Coverage)


Reporting to the Director of Mechanical Design the selected candidate will provide administrative support to the Mechanical Engineering Department ensuring that all projects are expedited quickly and efficiently working in partnership with various Evertz Departments.


  • Track and obtain documentation to ensure efficient completion of Mechanical Related ECOs
  • Track incoming requests from engineers in the Mechanical work schedule
  • Update and maintain logs and work-in progress pipeline, track team vacation and sick day schedule
  • Track and ensure that completed jobs are expedited to manufacturing
  • Manage department emails, and communicate schedules to applicable employees
  • Enter data accurately and efficiently into department database, file completed checklists
  • Process TruForm emails and send appropriate Solid Edge Files
  • Create and provide required dxfs for Drafting or other departments
  • Create Metal-Work and Hardware POs
  • Compare Solid Edge Database against AS400 for proper Evertz numbers and Description for hardware and metalwork
  • Deal with Production/Purchasing Shortage Reports
  • Coordinate with Stockroom personnel the stock control for old revision parts
  • Obtain samples from stockrooms based on Department needs follow up with team members and return them to be re-stocked
  • Coordinate product/sample/engineering kits transfers between Mechanical Department and other Evertz buildings
  • Schedule daily and weekly team reminders, metalwork and hardware stock arrival
  • Organize department Lunch and Learn meetings, order and on occasion pick up the food
  • Order and sometimes pick up dinner for department members working overtime for rush designs
  • General administrative duties, filing and maintaining database binders
  • Maintain and organize department’s lab and workspace
  • Maintain and order office and kitchen supplies, maintain fire safety employee list
  • Other related duties as required


  • Post secondary education in related field is preferred
  • Knowledge of Microsoft Office, including Word, Excel and Outlook.
  • Must have a good command of the English language with excellent verbal and written communication skills, attention to details, problem solving ability, time management and interpersonal skills.
  • Must be persistent with the ability to ensure that there is an efficient information exchange between departments
  • Ability to prioritize a fast changing work schedule
  • Strong follow up skills are essential
  • Must have own transportation
